Deputy Treasurer/Public Trustee $25.79 - $34.01/hour 

Under general supervision, performs clerical support duties in the county treasurer’s office; provides property tax related information to callers and visitors; receives and processes tax payments; maintains tax-related information in computerized systems in accordance with applicable laws, policies and other requirements; receives, verifies, makes and reconciles treasury deposits; performs clerical property foreclosure activities; and performs other related duties as assigned.

The duties listed below represent the various types of work that may be performed. The omission of specific duties does not prevent the assignment of work that is appropriately related to this class.

Tax Collection/Accounting
• Processes property tax transactions; looks up account information; calculates penalties, interest rates and prorated advance tax payments; determines balances due; receives property tax payments; enters tax transactions into a computerized system; provides or mails tax receipts; processes customer address or other account changes; researches, identifies and collects delinquent taxes.
• Prepares certificates of taxes due using automated and manual processes; performs periodic mailings of tax notices and special assessments; adds omitted property assessments from the Assessor’s Office to tax rolls and mails out change notices.
• Assists customers having problems using the department website.
• Assists in organizing and completing the yearly tax lien sale; checks ownership records, registers participants, records bids and assists with mailings; maintains tax sale records; prepares and signs Redemption Certificates for properties sold at tax sales.

Treasury Support
• Receives payments and deposits, including deposits from other county departments; enters payment information into electronic accounts.
• Prepares bank deposits; reconciles payments and receipts and resolves discrepancies; reviews and approves payment batches; scans check into bank accounts; assists in reconciling accounts.

Public Trustee Support
• Administers property foreclosure processes in accordance with statutory requirements and critical deadlines; reviews, accepts and processes new foreclosure filings; prepares mailings of foreclosure documents; prepares for and assists with weekly foreclosure sales.
• Serves as the point of contact for law firms regarding foreclosure proceedings.
• Receives, accepts, and processes requests for releases of deeds of trusts; reviews, accepts, and processes payments for cures, withdrawals, deposits, and releases; prepares releases for signature and mailing.
• Maintains electronic and hard copy foreclosure files, records, and information in accordance with legal requirements.

General Administrative Support
• Provides customer support at the front reception counter, over the phone, through the mail or via email; researches, copies and provides documents and information; explains processes related to tax collection, property foreclosure, tax lien sales, and other department functions; assists customers in completing forms and documents; researches customer requests or problems; makes and provides copies of documents; receives and receipts payments and deposits.
• Creates and utilizes forms, databases, spreadsheets, activity logs, or other tools to track and maintain information; locates, retrieves, and compiles data from manual or computerized information systems; assembles and consolidates information from multiple sources.
• Types and/or prepares moderately complex letters, memoranda, forms, labels, requisitions, receipts and other documents using a computer, printer, typewriter or other input devices; reviews, compares and proofread documents for spelling, punctuation, grammar, format, and clarity; completes various forms to process requests or claims; creates charts, tables or other graphics; develops and prepares reports and data summaries. may draft correspondence using form letters and templates.
• Assists with special department projects.
• Retrieves, opens, and processes mail.
• Establishes and maintains organized and accurate departmental files and records; creates new files and filing systems as required.
• Performs mathematical and financial calculations; receives and receipts payments; counts cash and receivables and prepares deposit documents.
• Maintains inventory of office forms and/or supplies; maintains records of supplies requested, received and issued.
• Makes photocopies of documents; may scan records into an electronic document system.
• Attends meetings and training; serves on committees, teams and task forces as assigned.
• Assists in troubleshooting minor computer and printer problems.
• Performs other related duties as assigned.

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying.
A typical way to obtain the knowledge and abilities would be:

Possession of a high school diploma or equivalent.

Two years of progressively responsible clerical experience that includes electronic data entry, the maintenance of recordkeeping systems, and the operation of personal computers. At least one year of the experience must have include extensive customer service interaction with the public.

• Depending on assignment, a valid license to drive a vehicle in Colorado and a safe driving record may be required at the time of appointment and throughout employment.
